Executive Assistants
For assistants managing principals, guests, calendars, and the consequences of delay.

Industry pages explain how the same vehicle standard serves very different operating needs.
The same airport run is different when the passenger is a principal, a client, a family, or a project team. The itinerary should say who the ride is for.
Send the itinerary through the quote team so the route, vehicle, and timing can be reviewed together.
Maintain one itinerary with an arranger contact and a passenger contact. Decide who can approve a route change and who receives pickup instructions. A principal in meetings may need the passenger message to be brief, while the arranger needs the complete sequence. Add the entrance street, luggage, next appointment, and any preferences that require confirmation. The executive assistant page expands the calendar and communication checklist for recurring trips and visiting leadership.
Order the meetings by the actual attendance plan and record each required arrival separately from the meeting start. Include time for building access, collecting the party after a meeting, and loading again. Mark the last fixed commitment, such as a flight, so a late meeting can be discussed in context. If a stop is provisional, say who may remove it. Review finance travel and roadshow planning before asking for the day to be quoted.
Give a visiting client the entrance and a reachable host, especially when the building has multiple doors. Ask the property which entrance and loading area guests should use. NYC DOT describes hotel loading zones as places for quick guest and baggage loading; the group should be ready before moving to the curb. For arrivals, add flight details and tell the host whether the traveler has a meeting immediately after the airport.
Keep billing instructions with the arranger's version of the request. State any reference, project, or cost-center field needed on the record, and ask whether the requested billing arrangement is available. Check vehicle class, passengers, luggage, all stops, waiting terms, and the change contact in the confirmation. For a repeated itinerary, review the addresses and dates each time. A familiar route still needs the current traveler details and an accurate pickup time.
NYC hourly rates: sedan $120/hr and SUV $150/hr, all-in. S-Class starts at $175/hr and Sprinter starts at $200/hr. Hourly service has a 3-hour minimum. Send the itinerary for a written quote.
