Three disciplines solve three kinds of day: the standing account, the flight-sensitive arrival, and the multi-stop schedule. Event briefs apply them to a specific venue and date.

Read the briefStart with the shape of the day. A single airport run is different from a standing corporate account, and a roadshow is different from both. The quote team matches vehicle, timing, and coordination to the itinerary.
Send the itinerary through the quote team so the route, vehicle, and timing can be reviewed together.
Write down whether the passenger needs one journey or a vehicle between appointments. A flight arrival followed by several meetings should include every stop, the expected meeting duration, and the final destination. Mark stops that are optional. For a changing sequence, review roadshow transportation; for a single flight movement, use airport transfer planning. Ask how an added stop or a longer meeting would affect the written quote.
A building address is only the start of a pickup plan. Add the entrance street, a cross street, and the passenger's contact number. If the property has a designated loading area, confirm it with the host. NYC DOT explains that hotel loading zones permit quick guest and baggage loading. Prepare to meet the car when it can legally reach the pickup point; an entrance does not guarantee space for a vehicle to wait.
Keep the scheduled landing time separate from the time the traveler expects to be ready with luggage. Include checked bags, any assistance requested from the airline, and the next appointment. If an arrival is followed by a meeting, identify the required arrival time at the building and tell the meeting host when the flight is due. Ask for the passenger contact method and the procedure for a terminal change in the confirmation.
Review passengers and bags together using the vehicle classes. Note whether the group stays together at every stop or changes along the route. List waiting periods and a return leg explicitly. Check included stops, service duration, tolls, applicable charges, and cancellation or change terms before confirming. Keep one current itinerary, with the date and local pickup time clearly visible, so the arranger and traveler work from the same version.
NYC hourly rates: sedan $120/hr and SUV $150/hr, all-in. S-Class starts at $175/hr and Sprinter starts at $200/hr. Hourly service has a 3-hour minimum. Send the itinerary for a written quote.
